Your day to day system

Booking systems, job and project management, field service apps, EPOS, spreadsheets. Whatever the business actually runs on, including the one everybody complains about.

Your accounts package

Xero, QuickBooks or Sage. All three publish a proper interface for this, so the link is built on their own documented connections rather than a screen scrape.

The rules in between

Which lines are sales and which are noise, how a part payment is treated, which account code a card terminal belongs to. The rules are the job. The plumbing is the easy part.

Worth knowing

Re-typing figures can break your VAT trail.

HMRC requires digital links between the pieces of software that make up your VAT records. Copying and pasting or retyping figures from one system into another is not a digital link, and the rule is set out in VAT Notice 700/22. If your VAT return starts life in a system that does not talk to your accounts package, that is worth checking before anything else.

The same care applies to the data itself. You remain the data controller for anything that moves between systems, and the ICO's guidance for organisations is the plain English version. Where a system allows it, the link uses a read only login on the side it reads from.

When not to bother

When you should not hire me for this.

If there is a ready made connector in your accounts package's app store that does what you need, use it. It will cost less than I will and it will be supported by somebody bigger than me. I am worth paying when nothing exists for your particular pair of systems, or when the connector that does exist gets the rules wrong for how your business actually works.

And if nobody is currently re-keying anything, there is nothing here to fix.

What is accounting software integration?+
It is a link between the system you run every day and the accounts package you file from, so the same figures do not have to be typed in twice. Invoices, payments and credit notes move across on a schedule or as they happen, in the format your accounts package expects, with the references kept intact.
How much does accounting software integration cost?+
From £500 for a straightforward single connection, meaning one system to one accounts package with a clear set of rules. More involved builds rise into the low four figures: several sources, awkward exports, or rules that change by location or customer type. Fixed price, agreed up front, before any work starts.
Can you connect my booking system to Xero?+
Usually yes. Xero, QuickBooks and Sage all publish proper interfaces for this, and most booking and job management systems will either do the same or at least produce a reliable export. The honest answer depends on your particular system, which is worth ten minutes of checking before anyone quotes you.
What if a ready made connector already exists?+
Then use it. Xero and QuickBooks both have app stores full of connectors, and if one does what you need it will cost less than I will. I am worth paying when nothing exists for your combination of systems, or when the connector that does exist gets the rules wrong for how you actually work.
Is system integration worth it for a small business?+
It is worth it when somebody re-keys the same data every week, or when the two systems disagree and a person reconciles them by hand each month. If your accounts package already receives everything correctly and nobody is retyping anything, you do not need this.
Does re-typing data between systems affect Making Tax Digital?+
It can. HMRC requires digital links between the pieces of software that make up your VAT records, and manually retyping or copying and pasting figures between systems is not a digital link. A proper integration keeps that chain unbroken, which is worth knowing if your VAT return starts life in another system.
What happens if the integration breaks?+
Systems change, so it will need attention eventually. A fixed price build includes a period of support while it settles, and after that it can either be looked after under a monthly arrangement or left alone until something changes. What I do not do is disappear and leave you with something nobody understands.
